			<content:encoded><![CDATA[<p><span style="font-size: small;">﻿</span><span style="font-size: small;">During the height of tax season, One of Teltek&#8217;s clients Baltimore CASH Campaign utilizes the resources of a remote call center in Oklahoma to assist more individuals then their permanent staff can support.  The winter of 2011 left  Tulsa, OK buried in snow and without power and telephone lines for several days, which in turn caused callers to receive numerous error messages.  <a title="Contact Teltek today for a free quote!" href="http://www.myteltek.com/index.php" target="_blank">Teltek</a> was contacted to address the issue and initiated a meeting to discuss the systems current set up and how the system would have to be set up for afterhours calls to handle the influx of calls.  This was important as the Call Center in Tulsa was not expected to be back online until almost three (3) full business days later.</span></p>
<p><span style="font-size: small;">Baltimore CASH Campaign had an <a href="http://www.myteltek.com/view_item_baltimore_maryland_va_pa_dc_telephone_systems_telephones.php?id=55&amp;" target="_blank">Avaya IP Office phone system</a> so the Teltek team was able to program the system and work with service providers to </span>initiate <span style="font-size: small;">a rapidly deployed call center in their Baltimore office for a short interum basis: calls were distributed to different hunt groups during the day for better access, overflow calls went into a voicemail that was regularly checked, and after hour callers were prompted that they were experiencing higher call volume and would get back to them within a certain period of time.  Once the call center in Tulsa was back online and working, Teltek worked with their service provider again to reroute the number and forward the number back to the call center.  Simultaneously, Teltek was working with inclement weather conditions in Baltimore, Maryland and employees, working remotely from their own homes, were able to support Baltimore CASH Campaign.</span><span id="more-1149"></span></p>

<li>Ensure that the proposal they are providing you with is complete; this proposal looks like they are just providing you with the cost to rent/lease the equipment. Typically, there is also a monthly fee for the hosted PBX service, which would include usage, a cost to install it and some companies even charge to make administrative changes.</li>
<li>What is the total cost of ownership (equipment rental, installation, maintenance, reoccurring hosted PBX fees/usage, additional internet service (bandwidth) and taxes/fees?). Will they increase this during your contract period?</li>
<li>What is their guarantee? i.e. if you are having problems, how do they plan to resolve them? If they can’t find a resolution, what is the out-clause on the contract? This is typically called a SLA or Service Level Agreement which will specify predetermined ways to remedy service issues.</li>
<li>Who else in the area are they working with? References are huge, consider other companies your size, or from your industry – call them and find out what their level of satisfaction is. Due your own research as well, get online and Google® the company and see what reviews and other information that you can find. </li>
<li>Do they have their own technicians doing the installations, ongoing moves, ads and changes, or is it outsourced to a 3<sup>rd</sup> party? Also, is there a cost for any of this? What is the typical procedure to request a change and how long do you need to wait?</li>
<li>What features are included? Which ones do you need to pay more for (i.e. voicemail to email, mobility, Outcalling, etc.)?</li>
<li>What technology are they using:  for their hosted PBX system, the phones that will be on your desk, the service providers that will deliver the internet service, and the data center which is so crucial to provide guaranteed uptime?</li>
<li>Most important – are they providing you a managed and dedicated internet connection? There are two ways to install hosted PBX; 1) is with managed internet, this is essentially guaranteeing your connection back to their office (some form of a point-to-point T1, MPLS or fiber connection) or 2) using the public internet. When the public internet is used, the cost is significantly cheaper, but there is no quality of service because it is out of everyone’s control and there is no way to provide any guarantees.</li>

<p>Here at Teltek we have spent a lot of time over the past year analyzing hosted PBX technology and providers as I have seen the technology evolve; some providers are extremely successful but many are not. If you are seriously looking at this new technology to run one of the most critical systems of your business I would plan to either hire a consultant or to invest a significant amount of time and effort to doing research and ensuring that you are fully aware of what to expect.</p>
<p>I know I have provided you with a lot of information here and hope that it assisted in making your decision of which direction to go. Should you choose not to purchase hosted PBX technology, my recommendation would be to buy, rent, or lease an Avaya, Mitel, or Cisco phone system from a local vendor. For your particular needs,  I think if you stick to one of those brands it really doesn’t matter which system you end up with; you want to invest more time into selecting a vendor that has a proven history of supporting their clients’ total communications needs. As your organization grows, changes, or requires new technologies, you will need to have a reliable vendor that will not only provide you with what you are asking for, but assess your needs, make recommendations and work with your other vendors to integrate the solution properly.</p>

<p><em><strong>What is the disruption if we don’t have the overtime effort?</strong></em></p>

<p>A:  There will be a fairly large disruption due to the network room clean-up and cabling modifications required – I would estimate about 4-6 without phones/computers.</p>
<p><em><strong>What is saved?</strong></em></p>
<p>A;  We will plan the installation around your schedule so as much of the work that can be completed during normal business hours will be done then. This way only the items that would cause downtime to your systems would be addressed after normal business hours conserving cost. The majority of our configuration and system programming is completed at our office, so when we arrive at your office we simply need to set the phones out and make the modifications to your cabling and mount the rack to the wall.</p>
<p><em><strong>Can anyone answer the phones from their desk with no attendant at the front desk?</strong></em></p>
<p>A:  Yes we can program the system a number of different ways to support that (i.e. the receptionist can log in and out when she is there, specified people can be in a hunt group that get the calls after a delay, a secondary receptionist is assigned, etc.). Our technician will spend 2-3 hour prior to the installation reviewing what we call “cutsheets” to determine and advise you how best to integrate the new system into your business practices.</p>
<p><em><strong>Confirm the Front door interface is included, [we] remembered that it was.</strong></em></p>
<p>A:  Yes it was. Before we were to move forward I would like to stop back out briefly with the technician assigned to your account so that we can run through everything one final time just to ensure that I have everything accounted for and accurate &#8211; we try very hard not to have any unexpected changes orders. </p>
<p><em><strong>Are we adding the second fax line to the phone system, for a total of 5 phone lines?</strong></em></p>
<p>A:  That certainly will not be a problem, but would be a topic to finalize with the technician depending on what you are looking to accomplish by doing this. The way the system is configured today you can support 4 analog lines and a full PRI.</p>
<p><em><strong>What is the assumption of the proposal analog lines or T1 / PRI?</strong></em></p>
<p>A:  The configuration is for a PRI to be used as the primary service, but we always configure analog lines in addition as back up. Because of he known service outages in your area this is a subject that we would want to discuss in more detail ensuring that you are fully aware of the features and benefits of T1/PRI vs. Analog POTS lines before you make a decision.  </p>
