Girl On Wire – Secrets Of The Site Survey!

When a new or existing customer approaches us to consult with them on a new phone system, the very first step is the site survey. Since this was a new term to me when I first entered the telecom realm, I thought it might be helpful to define this action and shed some light on its meaning, so you know what to expect when you call us to schedule your own site survey!

The site survey begins with an Account Executive (AE) visiting the customer’s present or future location. Some of the elements of the space that an AE pays attention to will be the physical location, reception area, phone closet, server room and utility closet. The voice and data cabling will also be inspected to determine the age and condition of it to ascertain if new cabling would be beneficial.

Next, there will be an evaluation of the phone equipment currently being utilized, the number of telephone sets and age of the equipment. In some situations, the existing equipment can be reprogrammed or expanded to suit that customer’s needs. Another option is to replace the system with a new Avaya or NEC phone system.

Finally, a discussion takes place between the AE and the customer; this is where the magic happens! An open and honest exchange will address what the customer likes about their current communication system and what is lacking. At this time, the AE is able to analyze the information provided and suggest a customized solution. For example:

*Is the receptionist complaining about headaches and neck pain? Perhaps a headset would help

*Have there been problems with the system loosing programming? It could be due to extreme temperature changes and it might be beneficial to relocate the equipment to another area of the building or install a dedicated electrical outlet with a sufficient UPS in the phone closet/server room.

*Are your calls quickly and efficiently routed to the proper staff member? If not, you could benefit from an auto attendant on your voicemail system or Music on Hold to keep the caller engaged while waiting

After the survey has been completed, the AE will prepare a quote to provide you with a cost estimate. When the quote has been approved and accepted, the project is handed off to a dedicated project manager who will order the equipment and schedule the installation of it. The technician(s) performing the installation will rely on the site survey notes to ensure the job is done correctly.
