5 Tips for Effective Video Conferences

It’s no surprise that in a global economy technology is prized for allowing teams to function across the globe. Whether an internal or external team in the next state or on the other side of the ocean, video conferencing is helping us communicate.  The biggest advantages of web conferencing include better collaboration, greater clarity of topics being discussed and ability to have more efficient meetings overall. However, its important to make sure you’re setting yourself up for success.

Use these 5 tips  to make sure that you’re presenting yourself professionally during a video conference:

 

  1. Testing, Testing 123 – Make sure your internet connection, headsets and microphones are working in advance of the call.  You want to ensure that you’re being respectful of other people’s time and not wasting your 1st 15 minutes working out tech issues.
  2. Set the stage:  Clean up & Lighting – The conference room or office should be tidy.  If you’re connecting from a home office or hotel room while on the road, make sure that the scene behind you is well managed. In addition, pay special attention to lighting.  The room should be well lit and the light is in front of you, rather than at your back so people can clearly see you.  Also, avoid harsh side or overhead lighting  which could evoke an emotion that’s less than collaborative.  I’ve seen some desk lighting angles that would make even the nicest person seem like they’re scowling.   3. Adjust the camera angle.  Make sure that it’s at a flattering angle (a little higher is always better than a little lower when it comes to camera angles and avoiding the dreaded accidental double chin.)  Also, make sure that you’ll be able to see everyone involved if it’s a conference room setup.
  4. Dress the part – Dress codes are important.  Present yourself just as you would for an in person meeting.  Remember, they can see you!
  5. Make eye contact!! This might take a little getting used to as you will need to look at the camera instead of the person on the screen when speaking.  However, this can go a long way in recreating the in person feel and connecting w/ your audience.
