A current medical client of Teltek’s recently asked:
“We have multiple office locations with an Avaya IP Office phone system, currently when patients are put on hold there is silence. Can you forward to us some options to consider while our patients are holding? “
Here’s was our response:
There are several options to consider when looking at music or advertising on hold. Most importantly you want to comply with the Federal laws that govern what you broadcast across your telephone system. We have provided three options below that will help keep you in compliance and your office sounding professional.
Option 1: You can purchase music on hold unit at each of your office locations that offers several options of prerecorded royalty free music. This will play continuously with your selection of music and an occasional interruption saying “your call is important to us thanks for continuing to hold”. The cost of these units is minimal and they are easy enough that anyone in your office to self install. We can also install these for you at your next scheduled proactive support visit if you choose, so you won’t have to pay for labor.
Option 2: If you would like a more customized recording that talks about your medical practice and “advertises” the services that you offer, you can buy the unit listed above and add a customized message to it. This customized message would be a professional recording of a 2-5 paragraph script that you write in your choice of voice talent and background music. Contact Teltek to hear a sample customized message.
Option 3: Similar to above, but if you would like your script to change multiple times a year you can subscribe to a service that will include the players and new scripts at various intervals throughout the year (monthly, quarterly, etc.). This company will write your script for you, record your message with your choice of music/voice talent and remotely via the internet and upload at your specified intervals throughout the year. An example of this would be, your message could change around the end of the year to broadcast holiday themed music with a message saying “get this procedure done before your deductible closes out”, or something like that. This offering would be provided through an outside service but billed through Teltek on your support agreement.
Whichever option you choose we strongly believe in keeping your patients entertained while on hold. It is also essential to purchase a player designed for this type of continuous play, not just broadcast the radio or another music playing device that was not designed to run continuously.
