The rapid evolution of the cloud, cybersecurity threats and technology dependence has led to a massive increase of technology support providers. Additionally, technology is complex, confusing, and there is a lot of industry jargon making evaluating solution providers with difficult and cumbersome processes. Below are a few areas that we would like to highlight as we believe it is important information for decision-making criteria when a small organization selects a new Managed Service Provider (MSP):
Client’s existing technology environments vary widely, and it is nearly impossible to accurately predict the full scope of a new client. Professional MSPs will complete various levels of assessments prior to entering into a support agreement with a new client. However, even the best service providers need to uncover unknown issues and get acclimated to each client’s environment and specific needs. This is problematic when responding to an RFP based on the information supplied by the source prior to completing the necessary assessments. Thus, Teltek strongly recommends new clients anticipate several additional recommendations to follow during and after the onboarding process. These will be ranked in order from most critical to least critical and will likely correspond with additional associated costs; some may be required within a specified period of time for Teltek to engage into support with the client and many will likely be optional. Additionally, unless otherwise specified, your proposal assumes that all existing hardware is within manufacturers’ support and the client has a properly designed, "business-grade" and cloud-manageable network by one of the Teltek-supported manufacturers. Finally, all software used by the client is properly licensed and under an active manufacturer’s support agreement.
There is a big distinction between IT consulting/support and cybersecurity. We have found that many small organizations believe they are one and the same, but unfortunately the simpler days of managing a firewall, data backup and basic antivirus are long gone. The best possible defense and new in industry standard is to leverage an evolving “cybersecurity stack” of multiple best-in-class third-party services that are deployed and managed by the MSP. Most MSPs add these costs in during the onboarding phase once the support business has been won. A properly built “stack” is essential, not only for the client's protection but also for adherence to their liability insurance requirements. While Teltek offers several levels of cybersecurity, our liability insurance requires the deployment of a minimum standard suite of services to all clients for whom we support. Please review this section of your proposal carefully and see a detailed list of services included in your agreement. Finally, it is highly advisable for all business clients to have an active and adequate cyber-liability insurance plan; please coordinate with your business’ insurance professional for more information and be sure to make the Teltek team aware of any specific or changing requirements.
Qualified MSPs centralize all their clients on specific manufacturers for several reasons: 1) centralized monitoring, updates, and support, 2) ability to train their staff at a deeper level in specific products vs wider knowledge across many manufacturers and 3) economies of scale from purchasing power and ability to manage multiple clients concurrently. To put it simply, when moving to a qualified MSP, they are going to require you to migrate certain parts of your technology, such as data backup and networking hardware (firewalls, switches, and wireless access points) to their selected manufacturers not migrating this technology will likely impede their ability to provide quality and reliable support.
Most established MSPs will require an initial contract term of 3-5 years or more. This is due to what is commonly referred to as “the cliff” in the IT services industry; meaning that the initial costs of onboarding a client cannot be covered by a ‘reasonable’ onboarding fee. Costs of labor, travel, licensing, 3rd party services, etc. associated with properly onboarding a new client can range widely depending on size of the organization, complexity and state of the technology when taking over. As a result, MSPs are ‘eating’ a large up-front cost with plans to amortize it over the term of the contract. If proper onboarding is completed, the costs to the company doing so must be spread over a minimum period of three years.
Too often we see clients terminating their legacy MSP support prior to collaborating with the new MSP on the best way to approach the transition of responsibilities. Teltek has a specific, proven process to effectively transition the old vendor out and the new vendor in with minimal interruption to the client’s business. Please note that this requires a minimum of a one-month overlap of support from both vendors. This is so Teltek can work together with the departing vendor to get a proper ‘handoff,’ documentation, licenses, identify unknowns, etc.
Teltek provides a staffed helpdesk for certified engineers Monday through Friday 7AM to 7PM Eastern Standard Time. Unlimited real-time helpdesk services are included in all Teltek support plans. Additionally, Teltek maintains an after-hours support engineer on call for emergency support. After-hours support will be billable unless detailed in your support plan below.
Many Teltek employees and associates have attended HIPAA, PCI and other compliancy training/testing during their onboarding. If your organization is required to meet or maintain any compliancy standards, we kindly ask that you advise your Teltek point of contact in writing prior to engaging in support with Teltek.
We believe that a healthy technological environment is one that is well-organized, properly documented/labeled, and free from clutter. As a result, we included technology recycling all our IT support clients at a reduced rate.
Teltek will complete an initial network in-depth technology assessment to evaluate the state of the client's current IT network. The assessment will result in a list of onboarding items like those below which will be accomplished during the IT support on-boarding process. Additional recommendations will follow as Teltek learns more about the client's usage and needs:
Teltek's onboarding phase will last approximately 90 days with 30 days of overlapping support from the client's existing MSP (if applicable) for continuity. During this period, a dedicated Project Manager will work closely between client and all Teltek resources to develop a project plan with timeline and to ensure effective and efficient communication. As best practice, we encourage a recurring weekly or bi-weekly call with your Project Manager for project updates. Teltek strongly recommends that the client establish a knowledgeable, single point of contact from their organization who will work closely with the Teltek Project Manager and among the remaining client's staff. Teltek will also establish a primary and secondary Engineer as well as an Account Manager during the client's onboarding phase. This team of professionals will work remotely and onsite to gather information, complete documentation, onboard the client's assets to on to Teltek's best-in-class monitoring tools and provide ongoing recommendations for improvement.
Teltek will provide the client with the labor and third-party resources to migrate their server(s) to Teltek’s data center partner under a 60-month agreement. The aim is to deliver robust, secure, and scalable hosting solutions to meet the client's requirements. The services will include setup, configuration, management, and ongoing support for the Infrastructure as a Service (IaaS) in addition to the decommissioning and recycling of the client’s physical server (if applicable).
This proposal outlines the scope of work for Teltek to provide comprehensive Microsoft and 3rd party license procurement, migration and ongoing management & support. The goal is to ensure efficient and cost-effective management of software licenses, assist the client with compliance of licensing agreements, and optimization of software usage and support within the client’s organization.
Teltek will optimize the procurement and ongoing management of third-party technology software license and Software as a Service (SaaS) vendors as outlined in the bill of materials. This service will include monthly billing, contract and renewal oversight and ongoing administration and support as defined in the separate Managed Services Agreement between Teltek and the client. Additionally, initial and ongoing license audits will be performed, license oversight and management will be performed jointly alongside the client. License optimization strategies such as usage analysis, license reallocation and cost reduction may be performed from time to time and/or as requested by the client.

Teltek is committed to delivering a comprehensive backup and disaster recovery (BDR) solution utilizing Datto’s technology, tailored to meet the unique needs of our clients. This document outlines the services we provide, covering deployment, ongoing management, and support ensuring the highest level of data protection and recovery readiness.
Our process begins with a thorough assessment of the client’s existing IT environment. We evaluate the current infrastructure, including data storage requirements, recovery objectives, and network capacity, to determine the most effective configuration for the Datto BDR solution. During this stage, we also identify critical business systems and establish backup priorities to align the solution with the client’s operational goals.
Once the planning phase is complete, we proceed with the installation and configuration of the Datto BDR appliance. This includes integrating the solution with the client’s premise-based servers. Backup schedules, retention policies, and encryption settings are meticulously configured to meet the client’s specifications and security requirements. To ensure the solution’s effectiveness, we conduct initial test backups and recovery simulations, providing a detailed report summarizing the deployment process and validating system functionality.
After deployment, we transition into the management and monitoring phase. Our team continuously monitors the Datto BDR system to ensure backups run smoothly and promptly address any issues. This includes verifying the integrity of backup data and making necessary adjustments to accommodate changes in the client’s IT environment. Regular maintenance, such as software updates, firmware upgrades, and performance optimizations, is performed to keep the system operating at peak efficiency.
In the event of data loss or system failure, our team provides rapid response and recovery services. We execute data restoration procedures with precision, minimizing downtime and ensuring business continuity. To keep clients informed, we generate regular reports detailing backup status, storage usage, and any incidents or resolutions. Periodic review meetings are also conducted to discuss system performance and explore potential enhancements or upgrades.
For the solution to operate effectively, clients are responsible for ensuring the Datto appliance has adequate power, cooling, and network connectivity. Additionally, clients must provide necessary access to systems and personnel for deployment and management and communicate any changes to their IT environment that may have an impact on the BDR system.
It is important to note that our standard services do not include managing non-Datto backup systems, desktop and SaaS vendor’s (Microsoft, Google, etc.) data backup, providing long-term storage beyond retention periods, or recovering data outside the scope of configured backups. Additionally, only data stored on the designated servers and file partitions will be backed up. These services can be arranged under separate agreements, as needed. Additionally, clients are encouraged to create and enforce internal data storage policies and procedures ensuring that all users are only storing data in the designated locations to prevent possible data loss.
Through this narrative-driven approach to deploying and managing the Datto BDR solution, Teltek ensures that clients receive a robust and reliable disaster recovery solution, enabling them to focus on their core business operations with confidence in their data security and recovery readiness.

After more than 55 years in the telecommunications industry, we have seen everything. The adoption of Cloud-based VoIP phone systems has led to a massive increase in vendors trying to earn your business. Often long-standing clients of Teltek ask us to help them evaluate multiple proposals that they receive to help make sense of all the jargon. We decided to put together this guide of the top 12 points that we think are most important to consider when evaluating VOIP providers.
Some VOIP providers charge for usage or do not have true unlimited usage agreements. Additionally, some limit the number of concurrent call paths and do not provide a 1:1 ration of users to call paths (phone lines or trunks). Billing for usage and limiting call paths can result in costly overage fees, busy signals and dropped calls, be sure that you are aware of any varying costs.
While there are thousands of VoIP providers in the market, there are just a handful of quality core manufacturers. We encourage all clients to inquire about which technology is being used with their solution, as well as redundancies. We believe Microsoft is the best choice as the industry is moving heavily towards MS 365 and MS Teams. By selecting a Microsoft MetaSwitch solution now, it will make the future migration to MS Teams significantly easier/more efficient and decrease the learning curve for your end users.
Often gets overlooked and needs to be considered to prevent early termination fees. This can include multiple vendors such as internet service provider(s), voice service provider(s), existing maintenance provider of current phone system and any potential outstanding leases/financing agreements.
Overhead paging, door phones and analog devices (fire/security monitoring, fax lines, elevators, credit card/postage machines, etc.) often get overlooked and some providers do not support them be sure to inquire about these.
It is common for VoIP providers to give “free” phones as an incentive to win business. The “free” phones typically come with very limited features and ultimately leads to a very unhappy and unproductive workforce. We encourage everyone to do their homework and be sure to research the various hard and soft phone options.

Teltek’s VoIP (SIP) phone service will replace the client’s existing legacy phone service provider(s). SIP will enable phones service to be delivered across single or multiple internet connections instead of the legacy copper-based telecommunication networks. In most scenarios, the benefits will include reduced costs, improved redundancy & functionality, increasing the number of concurrent call paths and enhanced or improved number portability. Added redundancy is achieved by deploying SIP in a properly configured environment (redundant internet connections and a properly configured edge or SD-WAN device) by creating load-balancing and/or automatic failover between ISPs.
Each SIP Trunk will provide one concurrent call path (incoming/outgoing line) and unlimited local and long distance; unlimited Direct Inward Dial Numbers (DID’s) can be added for $.99/each, creating direct dials for individuals, departments or marketing campaigns within a business.
Cybersecurity needs are challenging, due to the evolving and increasingly sophisticated hacking technology used by cyber criminals. Even the most secure networks still have a substantial risk of experiencing a cyber-attack. It is essential to not only mitigate this risk through the recommended cyber solutions below, but also to plan, prepare and be properly insured for this serious business threat.
The increased targeting of small to mid-sized businesses has necessitated an overhauled defense strategy against cyber-attacks. As with any other form of technology, cybersecurity requires a combination of security practices (the approach) and software tools (the “tech stack”). Best-practice is to build a cybersecurity “tech stack” of both in-house and 3rd party monitoring as well as both offensive and defensive tools. Tools including firewalls and anti-virus protection for the most basic level and more advanced technologies such as ongoing security awareness training, DMARC email security, zero trust, and continuous 24x7 real-time monitoring. The cybersecurity tech stack acts as an enabler to our client’s security practices by providing an architecture framework of various tools to detect and mitigate vulnerabilities.
It is important to be aware that Teltek’s or any MSP’s cybersecurity offerings can in no way guarantee to prevent a cyber-attack. Cybersecurity services are being offered to you as a best practice solution to monitor, prevent and provide solutions to recover from a cybersecurity attack. We strongly encourage all clients to remain vigilant, continue training your staff and continuously work towards improving/enhancing your cyber defenses. Additionally, to obtain adequate (and remain in compliance with) cyber liability/other cyber-related insurance policies from your trusted business insurance provider as well as assemble, test/practice and improve incident response and disaster recovery plans often.

Teltek will supply the client with the proposed security stack products and services for a 60-month term to enhance their cybersecurity defensive solutions. All services and solutions will be monitored, updated and enhanced throughout the term of this agreement.
WHAT: Malware often communicates back to a command-and-control server for additional payloads to further the cyber-attack or for an adversary to control an infected machine.
WHY: By blocking malicious domains, the malware has no way to continue the attack and simply sits until removed. Furthermore, this cybersecurity layer can also help to filter content similar to the Firewall.
WHAT: Endpoint Detection and Response (EDR) along with Managed Detection and Response (MDR) are newer cybersecurity solutions that analyze things differently from traditional anti-virus. Ideally both solutions should be used.
WHY: Anti-virus to stop malware from attacking an endpoint and EDR/MDR to provide information used to both stop a cyber-attack and investigate what happened leading up to and after an attack has happened. MDR provides greater coverage and human response.
WHAT: Email Security identifies malicious and otherwise unwanted emails and removes them before reaching the business.
WHY: Phishing is a global attack method that has a low skill requirement with a high level of impact on a business from a financial and reputational standpoint.
WHAT: Creating a user-focused security program starts with education about the risks to the business and their clients.
WHY: Some attackers can get past email filters making in person or webinar style training crucial to understanding not just how to identify phishing and other social engineering attacks but also what their impact may be to your business.
WHAT: Encrypting a device can prevent the unauthorized use of the data stored when a device is stolen. Additionally, management solutions can disable the device as an extra measure of security.
WHY: Stolen or lost devices have accounted for some of the largest data breaches in the US. Encryption makes the data unreadable.
WHAT: Dark Web monitoring checks for business or employee related data being traded illegally because of other data breaches.
WHY: Your security can only reach so far and other organizations may have had data breaches that may affect your overall security. Detecting this information quickly allows for steps to be taken to minimize the risk.
WHAT: Password Managers securely store credentials for a business and allow users to avoid reuse or easily guessed passwords. Auditing passwords can identify weak and shared passwords attackers can use.
WHY: Password re-use is a common risk for businesses as users bring the same personal choices in passwords to the network. Managing and Auditing accounts will help to minimize the risk from credential attacks.
WHAT: Business Continuity and Disaster Recovery is not just having a backup of your data but a plan for where your employees can work and testing to ensure the plan works.
WHY: Despite the use of all layers of security, attackers can and do win against a computer network. BC/DR is part of making a business whole again.
Teltek provides comprehensive services for the deployment and management of access control and door entry systems. This document outlines the scope of services offered, detailing how we design, implement, and maintain these systems to meet the client’s security and operational needs.
Our process begins with a detailed assessment of the client’s facilities and security requirements. This includes an evaluation of entry and exit points, user access levels, and any existing infrastructure, such as door hardware, wiring, and network capabilities. Based on this assessment, we work closely with the client to design an access control solution tailored to their specific needs. This design includes determining the appropriate hardware (e.g., card readers, keypads, biometric scanners), software, and integration with other security systems, such as surveillance cameras or alarm systems.
During the installation phase, our team ensures that all hardware components, including access control panels, readers, and electronic door locks, are installed correctly and securely. The door entry systems are integrated with the client’s network, enabling centralized management and remote monitoring where applicable. We configure user access permissions, set up schedules, and implement custom workflows based on the client’s operational requirements.
Once installation is complete, we conduct comprehensive system testing to ensure the hardware and software are functioning as intended. This includes verifying access permissions, testing system alerts and notifications, and performing failover tests for power outages or network disruptions. We provide the client with a detailed report summarizing the installation and testing process, along with user training to ensure they are comfortable operating the system.
Ongoing management and support are essential to our service offering and available upon engaging in a separate ongoing support agreement. We provide proactive system monitoring to ensure continuous operation and security. Our team performs regular maintenance, including software updates, firmware upgrades, and inspections of physical components to address wear and tear. We also assist with adding or removing users, updating access permissions, and adapting the system to accommodate changes in the client’s operations or facility layout.
In the event of a system issue, such as a hardware failure or unauthorized access attempt, we provide rapid response services to diagnose and resolve the problem. Our support includes remote troubleshooting as well as on-site repairs or replacements when needed (if applicable within the support agreement). Additionally, we generate regular system performance reports and conduct review meetings to identify opportunities for improvement or upgrades.
To ensure the system operates effectively, clients are responsible for providing a suitable network environment, including power and connectivity for devices. They must also communicate any facility or personnel changes that may impact the access control system.
It is important to note that this Scope of Work does not include modifying door frames/doors to install electronic locks, unrelated electrical work, major facility modifications, or the management of non-supported access control systems. Recommendations and coordination of outside vendors may be available for these services under a separate agreement.
Teltek specializes in the deployment and management of video surveillance systems, providing clients with advanced solutions to enhance security and monitoring capabilities. Our approach begins with a thorough assessment of the client’s facility and specific security needs. This evaluation identifies critical areas for surveillance, potential blind spots, and optimal camera placement to maximize coverage and effectiveness. Based on these findings, we design a custom solution that includes the selection of hardware, such as cameras, recorders, and network equipment, and configure the system to integrate seamlessly with any existing security infrastructure.
The installation process involves deploying all necessary hardware and cabling, ensuring cameras are strategically positioned to capture key areas of concern. Recording devices and servers are securely installed and configured to ensure optimal system performance. The system is then connected to the client’s network, enabling remote access, centralized management, and scalable storage capabilities. During this phase, we establish configurations for video resolution, recording schedules, motion detection zones, and alert notifications. User access controls are also implemented to restrict and monitor access to video footage, maintaining data privacy and security.
Once the system is fully installed, we conduct rigorous testing to validate its functionality and performance. This includes verifying camera angles, testing video quality, ensuring proper storage and retrieval of footage, and checking alert systems for responsiveness. Failover testing is performed to confirm continuous operation in the event of power outages or network disruptions. Upon completion, we provide the client with a detailed summary of the installation and testing results.
Following deployment, we offer ongoing management and maintenance to keep the system running smoothly as defined in a separate ongoing support agreement. This includes proactive monitoring to address any issues before they impact performance, as well as regular software updates and hardware inspections. Physical components, such as camera lenses and cables, are periodically maintained to ensure durability and reliability. In the event of a hardware failure or other issue, our team provides rapid response services, including remote troubleshooting and on-site repairs or replacements as needed. We also assist with system expansion or upgrades to accommodate evolving client needs, such as adding new cameras or increasing storage capacity.
To keep clients informed, we provide regular reports on system performance, storage utilization, and any incidents or alerts. Periodic review meetings are held to discuss the system’s effectiveness and explore opportunities for enhancements or further integrations with other security solutions.
For all new station locations, Teltek will furnish and install Proterial/Hitachi, CommScope, General, ICC or an equivalent brand Category 6 cables for identified workstation outlets. The cabling will have a plenum rated jacket and will be installed from the MDF/IDF's to the associated workstation outlets noted on the floor plans. All cabling will be routed from the closets to the designated location using the J-hook hanger method. All network cabling will be supported above the ceiling using Arlington sling-type supports. The support system will be independently fastened to the building structure to create a pathway from the MDF/IDF to the designated location. All cable bundles will be neatly and loosely tie-wrapped and suspended from the approved support system. Teltek will consider the minimum band radius at all 90-degree turns in the cable pathway to ensure that the Category 6 compliance is retained.
Unless otherwise specified, Teltek will furnish and install ICC or equivalent brand network jacks (black in color) on ICC white plastic 2 or 4 port flush-mounted face plates. Cable numbers will be printed onto each face plate using a label maker. All cables will terminate to rack mounted ICC or equalivent brand Category 6 patch panels. All cables will be professionally installed, terminated, tested, and labeled. A copy of the “As Built” set of floor plans illustrating cabling numbers will be supplied to the client upon completion.
Teltek will provide the labor and materials required to clean and organize the client’s server room or network rack enclosure. The objective is to improve efficiency, safety, and maintainability by properly terminating and labeling all network cables, reorganizing hardware to enhance cooling and airflow, and removing decommissioned equipment and unnecessary cables for proper recycling. This process ensures a streamlined, functional, and future-proof server environment.
The project begins with a site assessment and planning phase, during which Teltek conducts an initial visit to evaluate the current state of the server room. A detailed plan and schedule for the cleanup and reorganization process is created, including identifying decommissioned hardware for removal. Clients are advised to back up all systems, servers, and devices prior to the start of work and ensure their vendors for specific systems, such as phones, computers, fire alarms, and cameras, are on standby to assist if systems do not restore properly. Teltek does not have prior knowledge, configurations, or credentials for these systems but will coordinate with the client’s vendors if issues arise. The client may incur additional vendor charges for this support and agrees not to hold Teltek liable for system restoration. Due to the invasive nature of the work, Teltek strongly recommends that the client provide a knowledgeable point of contact with access to all areas of the building to complete a final walkthrough with Teltek at the project’s conclusion. Functionality validation cannot be completed from within the server enclosure alone. Teltek offers ongoing troubleshooting and support for all systems under a separate agreement, including network, computers, phones, cameras, and access control, through its single-source helpdesk/NOC services.
The cleanup process involves terminating all network cables with proper connectors, labeling cables using standardized techniques, and documenting the labeling system for easy identification. A detailed map of cable locations is provided to ensure clarity and accessibility for future maintenance. All hardware is removed from the network rack, and the rack and surrounding areas are cleaned. The hardware is reinstalled in an organized manner to optimize airflow and maintainability, and the rack layout diagram is updated to reflect the new arrangement.
Decommissioned hardware identified during the initial assessment is safely disconnected and removed. Teltek ensures proper disposal of these items in compliance with environmental regulations and provides the client with a list of removed hardware and their disposal methods. Additionally, Teltek removes up to one 2’x2’x2’ box of old cables, scrap wire, and small electronics (mice, keyboards, etc.) at no extra charge. If the client wishes to recycle additional technology such as computers, monitors, or printers, Teltek can provide this service for an added fee.
During the cleanup process, Teltek powers down most or all equipment in the server room, resulting in complete downtime for the project’s duration. As part of this process, Teltek tests the functionality of the client’s battery backup (UPS), connects the Teltek-provided power distribution unit (PDU) to the UPS, and ensures all critical devices are connected to surge protection and backup power. The UPS load is assessed based on connected hardware, and Teltek will recommend upgrades or additional units if the UPS is undersized or inadequate.
Quality assurance and testing follow the reorganization. Teltek conducts a thorough inspection to ensure all cables are properly terminated, labeled, and documented. Network connections are tested to verify functionality, and a final walkthrough with the client confirms satisfaction with the work. Deliverables include a detailed project plan, labeled network cables with corresponding documentation, an updated network rack layout diagram, and validation of proper functionality. This comprehensive service ensures the client’s server room or network enclosure is optimized for performance, organization, and long-term reliability.

Teltek will dispatch a representative to the client’s office to remove unwanted electronic equipment, including working or non-working desktops, laptops, monitors, tablets, printers, copiers, TVs, audio-video equipment, telephone systems, and other devices. Equipment that can be reused will be refurbished and donated to local nonprofit organizations or repurposed in other ways. Electronics that cannot be refurbished or redistributed will be properly recycled to prevent toxic chemicals from entering landfills. This process aims to minimize environmental impact, comply with regulations, and promote sustainable practices within the organization.
Removing unused or unwanted technology components fosters a healthier technological environment, improving the organization and serviceability of existing systems. This initiative reduces electronic waste by prioritizing recycling and reuse, ensures compliance with local, state, and federal regulations, safeguards sensitive information through secure data destruction processes, manages costs associated with waste disposal, and promotes sustainability within the organization.
The project begins with an initial needs assessment to determine the volume and types of electronic waste. Key stakeholders are identified, including internal departments, recycling partners, and regulatory bodies. A timeline with milestones and deliverables is developed, along with a budget outlining the costs associated with the recycling program.
Designated collection points within the organization are established to streamline the gathering of electronic waste. Transportation logistics are arranged to ensure the safe and efficient delivery of waste to recycling facilities. Special attention is given to hazardous materials, such as batteries and CRT monitors, which are handled and disposed of in compliance with safety standards.
To address data security, Teltek works with the client to develop and implement a data destruction policy that aligns with the client’s regulatory and compliance requirements. Devices containing sensitive information are securely handled until data destruction is completed, and certification of data destruction is provided if included within the agreement.
Teltek will provide the quoted labor and materials to relocate the client’s technology as detailed in the proposal. This scope of work outlines the tasks, deliverables, and timelines required to successfully move and set up all IT equipment and services at the new location, ensuring a seamless transition of technology infrastructure, minimizing downtime, reconfiguring the network to suit the new office layout, and validating all systems and services post-relocation.
To begin, Teltek will conduct a detailed site survey of the new location to understand its layout and infrastructure requirements. All IT assets to be relocated, including servers, workstations, networking equipment, and peripherals, will be documented. Internet and network connectivity will be assessed, as will the low-voltage cabling infrastructure when applicable. A detailed relocation plan will then be developed, including timelines, resources, and responsibilities. Potential risks will be identified, and mitigation strategies will be created. A communication plan will keep all stakeholders informed, critical data will be securely backed up, and all equipment and cables will be labeled for easy identification during reinstallation. Equipment will then be safely powered down and disconnected in preparation for the move.
Teltek’s standard office relocation process is conducted in three phases to limit downtime. Phase one involves coordinating the internet service relocation between the client, service providers, and the office moving company, ensuring all cabling is in place and upgrades are completed as needed. In phase two, the internet service relocation takes place the night before or early morning on the day of the main office move. Teltek will be onsite early that morning to disconnect network hardware, servers, battery backups, and other IT equipment. Coordination with the office moving company ensures the safe relocation of technology outside the server room, such as computers, phones, and printers, as well as servers and other sensitive hardware. Teltek will transport networking hardware, including firewalls, switches, access points, and battery backups, to the new location. While the movers relocate furniture and computers, Teltek will reinstall the network and test internet and Wi-Fi connections. Depending on the size of the office and mover efficiency, phase three may occur on the same day or the following morning. In phase three, Teltek will return onsite to bring servers back online, assist end users in reconnecting phones, computers, and printers, and ensure that all systems are functional.
Once relocation is complete, Teltek will configure the network, including routers, switches, and access points. Servers will be reinstalled and configured to ensure all services are operational. The client or their moving company will be responsible for unpacking and placing technological equipment in designated areas, as well as setting up and reconnecting workstations, printers, and peripherals. Teltek will provide troubleshooting and integration support to ensure all devices are properly connected to the new network.
Post-relocation, Teltek will perform comprehensive validation to confirm that all systems and services are functioning correctly. This includes testing network connectivity, verifying that all users have access to printers and can print successfully, and assisting users with testing their workstations. Telecommunications systems will be validated to ensure all phone numbers and devices are functioning and routing correctly. The client is responsible for updating e911 information and other databases to reflect the new address.
At project closeout, Teltek will provide detailed documentation of the new technology environment, including network and cabling diagrams and configurations if available. Basic training will be offered to staff on any new systems or changes, and Teltek will provide post-move support under a support plan to address any issues that arise. This comprehensive approach ensures the relocation of the client’s technological infrastructure is executed efficiently and with minimal disruption.
Teltek will act as liaison between suppliers and the client to assist in sourcing internet, voice and other related technology services from 3rd party vendors. This service falls under Teltek’s Technology Expense Management service offering and all work sourcing, negotiating and project managing internet services changes will be non-billable; any onsite engineering time (assisting with the installation, networking, etc. upon client request) will be billable at Teltek’s standard rates.
This service requires the client to complete and sign a Letter of Authorization enabling Teltek staff to use the written documentation to act on their behalf with the related internet service providers. Teltek will not be authorized to many any changes to the client’s account without an authorized signatory completing and signing the official ISP(S) agreements.
The client acknowledges that prior to signing service provider(s) agreements, they are solely responsible to review any/all terms, provisions, conditions, supplemental agreements, etc. in their entirety. Additionally, the client agrees to eliminate Teltek from all liability/hold Teltek harmless for any resulting damage, outages, service interruptions, damage/loss of property, financial loss, burdens, consequences, etc. that may be imposed upon them based on their selections.
Teltek requires that a point of contact from Teltek must be listed as the ‘primary project management point of contact’ on all new contracts to ensure that all implementation communications flow through the Teltek office for project management purposes, not the client directly.
If the client is eliminating services and/or making changes to an existing vendor, the client acknowledges that they have verified no further contract liability exists with any existing carrier(s). Teltek assumes no responsibility to verify or validate existing contract liability prior to moving phone numbers to a new carrier or activating new service for a client and will not be held liable for any contract extensions, fees or penalties should an issue arise for any reason.
Client will be responsible for terminating any remaining contracts with existing carriers within one week of new services have been installed and tested and understand that most service providers will require 30-days following receipt of such notice to process request which may cause an overlap in billing between existing and new service provider - Teltek assumes no responsibility to terminate existing services and will not be held liable for any contract extensions, fees or penalties should an issue arise for any reason.
If changes to telephone services are made, the Client understands and agrees that they will be responsible for supplying Teltek with a signed copy of an itemized list of telephone numbers that they are requesting to be relocated and/or for porting from one carrier to another.
The Client should anticipate and plan accordingly for a minimum of 45-60 days for copper-based service provider installations, changes and relocations and a minimum of 120-180 days for new fiber installations. Additionally, service provider installations will require system downtime and must be conducted during normal business hours.
Client understands and agrees that additional costs may be associated with service provider coordination such as but not limited to 3rd party phone/IT vendor time and site visits, extending d-marc(s), service provider installation fees, coordination time, voice, or network hardware upgrades/licensing, etc.
Client acknowledges that Teltek will never recommend any one carrier over another as they cannot control their actions. Service provider coordination is offered as a benefit to our clients to complement our core business function. Clients are reminded to carefully read their contracts and speak directly to each service provider they are selecting prior to signing any agreements. There are times when service provider installations/cutovers/relocations do not go well resulting in delays, lost phone numbers, additional charges from a service provider and/or short or long-term service interruptions. If this happens Teltek will assist in managing the resolution between clients, service provider and other 3rd party vendors at the hourly rate specified within your core contract; please understand that quoted rates for service providers are strictly estimated and not a firm bid.
Teltek maintains dedicated contacts at most service providers which offer added insight to their order processing system and service escalations. We require that all new orders be created and submitted through these contracts unless otherwise specified in core contract/quote.
Teltek advises clients to directly contact each of their individual service providers to discuss ways of mitigating the risk of toll fraud and to deactivate international calling services unless necessary. Should toll fraud occur, the client agrees not to hold Teltek accountable or liable and to work through the resolution directly with each service provider.
Clients acknowledge and agree that certain Voice Over Internet Protocol (VoIP) features can limit or eliminate the proper functionality of traditional 911 emergency services. It is the Client’s responsibility to determine the technology or combination of technologies best suited to meet Client’s emergency calling needs and to make any arrangements necessary to access such services. Client shall inform ALL employees, staff, users, and other third persons who may be present at Client’s physical location(s) where Client uses VoIP Services of the non-availability of traditional 911 or E911 dialing and access from Teltek installed/serviced equipment.
Client has been advised that all communication between client and service provider (especially coordinating contract details and initiation/termination of services) be submitted to service provider and Teltek staff in writing with a request for a written acceptance of acknowledgement; Please CC your Teltek project coordinator onto all communication with a service provider and forward all responses if the service provider responds and does not include your Teltek project coordinator.
Any hardware that the losing carrier(s) required to be returned will be the responsibility of the client. If Teltek is requested to remove, package, or ship any modems, routers, etc., additional charges will apply.
Teltek will supply the client with a CradlePoint dual SIM modem (or comparable hardware) under their hardware as a service model and 1G of data/each location for standby/testing mode; additional data charges will be billed if/when it is used. This quote will include an onsite installation at the location of the client’s firewall/edge device. If Teltek provides IT support to the client, Teltek will integrate the failover internet service into the client’s existing data network. If Teltek is not the client’s IT support provider, the client will be responsible for coordinating the integration into their network; Teltek will provide limited remote support to the client’s 3rd party vendor but cannot provide network configurations. Automatic usage alerts can be established to notify clients of specified usage thresholds upon request. This will enable the client to monitor and manage usage and automatic increasing usage costs.
Teltek offers a Hardware as a Service (HaaS) solution, a bundled solution including hardware rental with an extended warranty coverage and managed services. This offer is designed to remove the financial burden of upfront capital expenses while ensuring that clients have access to the latest technology. As part of this service, Teltek takes responsibility for the provision, installation, and ongoing management of the hardware, along with clear terms regarding client default and hardware return at the end of the service term.
Under this agreement, Teltek Systems supplies clients with hardware which may include VoIP desk phones, conference phones, network switches, routers, wireless access points, firewalls and other related technology hardware. These components are selected based on the specific needs of the client’s business operations. Once the hardware is procured, Teltek Systems configures and installs it at the client’s office location in conjunction with a related managed services support and/or VOIP services agreement.
As the hardware remains the property of Teltek Systems, the company manages its ongoing operation and maintenance. This includes proactive monitoring to guarantee reliability and security, applying firmware updates, performing system optimizations, and addressing hardware issues through repair or advance replacement as needed. Unlimited remote troubleshooting is included within the HaaS, and onsite support will be billable at standard billing rates. Teltek Systems provides dedicated technical support to resolve any issues that arise, ensuring that clients can rely on the system without interruption. Clients are expected to maintain a suitable operating environment, including adequate power, network connectivity, and safeguards to prevent misuse or unauthorized access.
The term of the HaaS agreement is specified in the associated service contract. When the agreement concludes, the client must return all the hardware in good working condition, with normal wear and tear expected. The client is responsible for all costs associated with the removal of sensitive data as well as hardware removal, packaging and return to Teltek. Should the client choose to retain the hardware at the end of the term, a purchase option may be offered at a mutually agreed price, subject to negotiation.
In the event of client default, such as failure to make payments or violation of the agreement terms, Teltek Systems retains the right to suspend services, recover hardware from the client’s premises, and pursue payment for outstanding balances. Any costs associated with recovery or repairing hardware due to misuse or damage will also be charged to the client. If the hardware is not returned within 30 days of a default or termination of the agreement, the client will be billed for the full replacement cost of the equipment.
This service does not cover unrelated hardware, damage caused by misuse or unauthorized modifications, or upgrades and expansions outside the initial scope of the agreement. Such services may be arranged separately if needed. Fees for the HaaS solution are billed monthly and include all aspects of hardware provision, installation, and management. Additional costs, such as those incurred for hardware damage, replacement, or non-return, are billed separately when applicable.
